Less administration leaves more time over for company development.

Creacon HKAB used different systems before and a lot of manual handling to take information all the way from consultant to invoice. Now everyone avoid unnecessary double work and the consultants are extremely satisfied.

Creacon HKAB carries out qualified consultant services with architecture, building construction, VVS, electricity, energy technology and computer PLC control. It is a privately owned consulting company with about 35 employees with operations in Halmstad and Skövde, but with customers within the public sector as well as within private administration and industry.

– Offering services that include as many areas is almost unique for such a small company as ours, says Göran Feldt, MD at Creacon HKAB.

Creacon has been an Exicom customer for a long time, but previously through another parent company. Already then they used Copernicus Pro, so when the present company was founded it was obvious to continue with a winning concept.

– The system was already adapted to our operation, explains Ann-Kristin Sjöberg, the company’s financial responsible person. It’s a touch business with relatively low profit margins, so it’s a question of having good control of the operation.

During the spring of 2011 the company started cooperation by looking over its need of further support in its operation. Later the same autumn the work started with a gradual upgrade of Copernicus Pro.

– We offer expertise over many areas, but in the end it is our time worked that we can get paid for, says Ann-Kristin Sjöberg. Therefore we wanted to start the upgrade with modules for reporting of time and travel expense reports.

Before the upgrade we used different systems. Time consuming manual handling in many parts was a must to run information all the way from the consultant to the invoice. The implementation went smoothly and there is no doubt that the right decision was made.

– When everything was finished we went ’all-in’, says Ann-Kristin Sjöberg. We immediately changed because we wanted to avoid double work. The consultants think that it works great, and now they can even connect from home if they want.
– Now when the information goes directly into the system Ann-Kristin’s stress filled work of twice a month keying in over 30 reports disappears, adds Göran Feldt. Instead we can now focus on operational planning. Ann-Kristin can now instead assist me with creative company development in an entirely different way than before!

When the new routines have been established, there is in the long run space for several upgrades.

– Invoicing is probably the next step, in the long run. The project leaders should then be able to invoice directly, predicts Ann-Kristin Sjöberg.
– Copernicus’ module for resource management and planning also clearly look interesting but we need to hurry slowly, winds up Göran Feldt.

When time is money, as it is to a great extent for a company like Creacon HKAB, they of course want to use their and their colleagues time in the best possible manner.
