Better cash flow thanks to web invoicing
BDO Region East is marked by all of the time saving that they have done thanks to time reporting now being integrated in the bookkeeping. Now the company can invoice every day, and they have noticed that the willingness to pay from customers has increased when the invoice approaches the completed work.
BDO is an auditing and consulting firm with 450 co-workers that help the company from its 20 offices all around Sweden. The company is part of an international network in 110 countries.
The BDO Region East office has been a customer of Exicom since 1997, but has only used a limited part of the system. It was first in 2010, in connection with a larger streamlining job that they decided to also review the need for a business system.
– We have completely got used to our old returns. We had well used and stable routines, but for example we ran our invoicing documentation on ’pajama paper’, recounts Johan Viberg, responsible for finances at Region East.
Instead they have now switched to web invoicing in Copernicus Pro, and with that cut many manual parts and extra work.
– Thanks to web invoicing our customer responsible people invoice directly which has considerably improved our cash flow. It’s not unusual that we now invoice daily, and we have noticed that the willingness to pay from customers has increased when the invoice approached completed work.
BDO’s different offices use different systems, but soon Region East came up with developing and upgrading what they already used – Copernicus Pro.
– We already had good experience so the upgrade seemed very promising, explains Johan Viberg. We also wanted to get started quickly, which we really did. Discussions are now being carried out to run selected parts of Copernicus Pro over all regions.
Above all the company has noticed the time savings that they have made thanks to the automated flow in the bookkeeping. In the accounts department, co-workers have been able to focus on development and follow-up of the operation instead of time-consuming manual work. For example, time reporting is integrated in the bookkeeping, which has saved time, but also reduced the margin of error noticeably.
– Before it was a hunt for slowdowns – now there are hardly any at all!
As the new routines settle, BDO takes the next step in the development of the business system.
– On the wish list we have scanning of invoices and expenses management via the Web, reveals Johan Viberg. But we’re taking one step at a time and the changes take place together with our co-workers.
BDO’s consultants often work at customers and travel about, so mobile solutions are at a high premium.
– We are very satisfied with the system’s web solutions, and we very much look forwards to the different apps that are under development, says Johan Viberg.
