Full control of project operations
With increased demands from operations and accountants for more effective planning and follow-up, Bits Data started looking for a new business system. Thanks to Copernicus they now have ‘total control’ of project operations.
Bits Data is an IT company that is responsible for running, support, administration, and development of a large number of systems for all Scania and Volkswagen salespeople in Sweden, as well as Scania. Bits Data is specialized in IT for the automobile industry and several employees come from the automobile industry. In addition, Bits Data also supplies different financial systems and technical products for their customers; all in all, the company offers 60 different products.
The company’s slightly more than 40 co-workers work primarily in different projects. The demand for effective planning of time and resources has increased over the year because projects are to be run as effectively as possible.
– Our accountants demanded that we have a complete and easily grasped follow-up on all worked up hours that we carried out for our customers, and that we actually invoiced, tells George Diab, product development manager at Bits Data. It was the starting factor to us beginning to look around for a business system.
It can seem obvious to use the business system that they themselves ran for their customers, but it was considered too adapted to the automobile industry to work satisfactorily for Bits Data. George Diab started a selection process by taking in 6, 7 offers, but Exicom was not included from the start.
– I almost missed Copernicus! When we were in principal finished with the selection process, I got a late tip, and I can honestly say that when Exicom made their presentation, all of the pieces of the puzzle came together and Copernicus sailed ahead as the obvious choice.
Being that Bits Data mainly works in project form, it was the possibilities in project and resource planning that made Copernicus so attractive.
– Now we easily go into the system and check the project. All of the data is in one place, clearly put together, and we only need to make the decision and act. It exceeds our expectations. There is a big difference compared to the Excel terror we found ourselves in earlier, says George Diab.
Even the tight connection between time accounting is a great support in the operation. It did not exist in Bits Data’s previous system.
– Every hour that is reported in a project must now be managed by project managers. They are to be either invoiced or adjusted, which gives accounting and administration total control of the operation.
Bits Data has chosen to implement Copernicus step by step in close cooperation with Exicom.
– The implementation went unexpectedly fast. We were up and running with time reporting within a month. On the whole we have got a lot of good help from Exicom with support and training. I work with many different suppliers and Exicom is unexpectedly good to deal with, and a company that I often use as a yardstick when comparing other suppliers, finishes George Diab.
